For insurance agents, brokers and agencies
mCallz: Insurance CRM That Keeps Every Policy Renewal and Client Call on Time
An insurance CRM is a client book for agents and brokers that tracks each policyholder, the policies they hold and when each one ends, so renewals and second policies are called on time instead of remembered late. mCallz stores those policies as dated packages on each client, filters what expires today or this week, and rings a renewal reminder before the end date.
- Expiring today and next 7 days filters on the client list
- Renew extends cover from the current end date, not from today
- Every policy sold stays as its own record under the client
Calls go out on each phone's own SIM. Dialer, CRM and WhatsApp for ₹4,000 per user a year (₹333/month), down to ₹208/month for bigger teams. GST extra.
- Works on the SIM in each phone
- Android, iPhone and web

The short answer
What is insurance CRM?
Insurance CRM is software that stores each policyholder with their policies, renewal dates and call history, prompting agents to contact them before cover lapses.
mCallz is an insurance CRM for agents, brokers and small agencies that sell by phone and keep clients for years. A prospect becomes a paid client in one tap, and each policy is entered as a sale with a package from the agency's own catalogue: yearly, monthly or a custom term. Because every sale is a separate record, one family can hold a motor, a home and a health policy, each with its own dates and its own paid and due amounts. Two client filters isolate policies ending today and those ending within a week, an alarm-style reminder sounds ahead of each expiry, and pressing Renew extends cover from the current end date, so an early payer keeps the days left. A WhatsApp message can ride on the reminder, and every call, chat and remark with the policyholder sits on one screen. Every capability named here was checked against the product's feature record of 14 October 2026.
- Renewal dates live on the policy record, not in a paper diary.
- Two filters turn the whole client book into this week's calling list.
- Any agent who picks up a policyholder's call sees the full history.
Benefits
Insurance CRM benefits for renewal-driven agencies
Fewer lapsed policies
A reminder ahead of each end date leaves time to call, quote and collect before cover runs out.
Correct new end dates
Renew adds the new term onto the existing end date, so a client who pays a week early keeps that week.
Every policy per client
Motor, home, life and health sales stay as separate records under the same person.
Premiums still owed
Paid and due amounts on each sale show which instalments the agent still has to collect.
Callers you recognise
Policyholders ringing in are named from your own client list, and saved clients are never blocked as spam.
Sales totals at a glance
Revenue cards total the agency's sales for the day, the week, the month and the year to date.
Renewal workflow
Insurance CRM renewals: expiry filters, reminders and the Renew button
Renewals are the steadiest income an agent has, and the easiest to lose through a forgotten date. This is how a policy moves through mCallz from sale to renewal.
Record the policy as a sale
When a client buys, turn the lead into a paid client and add the policy as a package (yearly, monthly or a custom term) with the amount paid and anything still due.
Let the reminder come round
mCallz raises a renewal reminder before expiry, which rings like an alarm on the agent's phone with the policyholder's history on screen.
Work the expiry filters
Each morning, open clients expiring today for the urgent calls, then the next 7 days to plan quotes and paperwork.
Call, and nudge on WhatsApp
Call straight from the reminder. If a WhatsApp message was attached, it has already gone out as the reminder fired.
Press Renew
Once the premium is paid, Renew moves the end date forward from the current end date rather than from the day the button was pressed.
Policyholder records
CRM for insurance agents: one policyholder, every policy and call
An agent's real asset is the client book, and in many offices it is scattered across a phone, a notebook and an insurer's portal. In mCallz each policyholder has one record. The Clients tab is kept apart from leads, and every sale under a client is its own entry, which is how repeat business is tracked: last year's motor renewal, this year's renewal and the home policy added in March each keep their own package, dates and amounts.
Custom client fields hold whatever the agency needs to find a policy quickly, such as the policy number, the insurer, a vehicle registration or the nominee. Product and package catalogues can be extended on the fly when the agency starts selling a new plan.
Open a client and one screen shows calls, WhatsApp chats, remarks, reminders and details in tabs. When a policyholder rings about a claim or a change of address, the agent who answers sees what was said last time, and on Android the caller card names the client before the call is picked up.
Messages at the right moment
Insurance CRM software with WhatsApp on renewal reminders
Plenty of policyholders read a WhatsApp before they answer an unknown call. A renewal reminder can carry its own WhatsApp message: a default text, an approved template with its blanks filled in, or words written for that one client. It is sent as the reminder fires, so the client sees the renewal date while the agent is still dialling.
Separate automatic messages can go out when a sale is recorded, such as a thank-you with the cover details, and after a missed call. Every automatic message is logged as sent, skipped or failed with the reason, and quiet hours keep messages out of the times you choose.
For a seasonal push, bulk WhatsApp sends a personalised message to the agency's paid clients, and the campaign report shows who received it, who read it and who replied.
Repeat sales
Insurance CRM system for repeat sales and cross-selling
Renewals keep an agency alive, but growth comes from a second policy sold to someone who already trusts you. Since each sale is recorded separately, it is plain when a client holds motor cover only, and a remark or a dated follow-up can plan the home or health conversation for the next renewal call.
Every sale shows what has been paid and what is still due, which helps an agent chase an instalment before the policy is at risk, and the revenue cards add up the agency's takings by day, week, month and year.
A paid client entered with a new number creates the matching lead automatically, so a walk-in renewal does not leave a gap in the history.
Agency teams
CRM for insurance companies and agencies with several agents
Larger agencies split the client book between agents. Leads can be assigned to each agent's own queue and transferred when someone leaves, with the transfer history kept on the record. The owner sees every agent's calls in the team call log, and the call log itself filters to paid clients, which shows how much of the day went on existing policyholders.
To keep renewals ahead of new business, an agent can auto-dial all of today's due follow-ups as one session first thing, then move on to fresh enquiries once the renewal calls are cleared.

Honest limits
Insurance CRM limits: what mCallz will not do
mCallz runs the relationship and the calendar an agent works from. It does not replace these:
- Quoting and policy administration. There is no premium rating, quote engine, policy issuance or claims handling; those stay with the insurer's or the broker's own systems.
- Insurer or comparison-site links. mCallz does not connect to any insurer's system. Policy details are entered by the agent, while lead lists can arrive from files, a Google Sheet or an API.
- Regulatory approval. mCallz claims no approval or certification from any insurance regulator. Check what your own regulator expects for records and sales calls.
- An inbound claims line. A claims hotline with a press-1 menu, a rented number and a waiting line is beyond mCallz for now (those tools are planned), so use cloud telephony for it.
Worked example
Insurance CRM example: a Kingston brokerage before hurricane season
A general insurance brokerage in Kingston, Jamaica. The business is an illustration, not a named customer.
The brokerage sells motor and home cover, and a growing number of small business policies, to about 2,000 clients. Each policy is entered as a sale under its client with a yearly package, so a family with two cars and a house has three records, each with its own end date and premium.
Every morning the office manager opens the expiring-today filter for calls that cannot wait, then shares the next-7-days list among the five brokers. Renewal reminders carry a WhatsApp template with the client's name and end date, which arrives as the alarm rings on the broker's phone. When a client pays a fortnight early, Renew extends from the existing end date, so the client keeps those two weeks of cover.
In May, ahead of hurricane season, the brokerage sends a bulk WhatsApp to its paid clients asking them to check their home sums insured, and the campaign report shows who replied. Those replies become callbacks for the week. With five brokers the office reaches the 5 to 9 users rate of ₹3,500 a head, so the year comes to ₹17,500 (US$194.10) plus GST.

Questions
Insurance CRM FAQ
Which insurance CRM shows policies expiring in the next 7 days?
mCallz does. Its client list has filters for packages expiring today and within the next 7 days, and each client also gets a renewal reminder that rings before the end date.
Is mCallz an insurance CRM?
Yes. mCallz is an insurance CRM that records every policy as a dated sale on the client, reminds the agent before expiry and extends cover from the current end date when the client renews.
How much does an insurance CRM cost with mCallz?
A solo agent or a desk of up to four pays ₹4,000 per licence a year (US$44.08), which averages ₹333 monthly. Agencies with more people get a lower yearly rate per head, reaching ₹2,500 at 20 users, and beyond that the price is quoted. GST is charged on top, and renewal tools are included rather than sold as an add-on.
What does CRM stand for in insurance?
In software, CRM means customer relationship management: the system an agency uses to track clients, policies and contact with them. For an agent it is the place where every policyholder, renewal date and phone call sits together, instead of in a diary.
Why do insurance agents need a CRM?
Because an agent's income depends on renewals and repeat sales that are spread across hundreds of dates. A CRM keeps those dates, the policies behind them and every conversation in one place, so nothing lapses because a diary page was missed.
What is the best CRM for insurance agents in India?
Agents who sell from their own mobile and handle renewals themselves get a close fit with mCallz: own-SIM calling, paid clients with packages, expiry filters and WhatsApp reminders, priced per user in rupees. Large insurers needing policy administration need a core insurance system instead.
Is there a free insurance CRM?
There is a trial rather than a free plan. Sign up at app.mcallz.com, load a few clients with their end dates and watch the renewal reminders work before you pay.
Can an insurance CRM send renewal reminders on WhatsApp?
Yes. Give the renewal reminder a WhatsApp message (the standard wording, an approved template, or a note for that client) and it leaves at the moment the alarm rings. The message log shows whether it was sent, skipped or failed.
What happens to the end date when a policy is renewed early?
Renew in mCallz extends the package from the current end date, not from the day of payment, so a client who renews early keeps the days still left on the old term.
Can one client have several policies in the CRM?
Yes. Every sale is its own record, so one client can hold several policies and packages, each with separate dates and paid and due amounts, and earlier years stay in the history.
Is there an insurance CRM for brokers?
Yes. Brokers placing cover with several insurers can record the insurer in a custom client field, keep every policy as a separate sale and filter renewals by date, all on mCallz.
What is the best app for insurance agents?
The most useful app is one that ties the phone, the client list and the renewal calendar together. mCallz does that on Android and iPhone, with automatic call logging on Android.
Does the insurance CRM issue policies or calculate premiums?
No. mCallz does not rate, quote or issue policies, and it handles no claims. It keeps the client relationship, dates, payments recorded by the agent and all contact history.
Can I track premiums that are still due?
Yes. Each sale records what the client has paid so far and the balance outstanding, and a reminder can be set for the next collection call.
